AIMS Method · Automate. Integrate. Monetize. Scale.

The systems I'd build for you, and a way to get them running.

The workflows, policies, scripts, and trackers I've built inside real businesses, in a private portal of playbooks. Work through them on your own, do them with me in a working session, or have my team install them for you.

How it works

Not a folder of downloads. A system you actually put in place.

Templates in a folder rarely get used. Each playbook starts with what the gap is costing you, gives you the standard to hold, and walks you through five steps to get there.

  1. Choose your portalPractice, for therapy, counseling, and coaching. Business, for any other service business.
  2. Sign in with your checkout emailYour portal opens at app.theaimsmethod.com right after you buy. No password, and your progress saves on any device.
  3. Work the playbooks your wayEvery playbook ends with the same three choices.

Therapy, counseling & coaching practices

Opening a practice means opening a small healthcare company.

You already know the clinical work. What catches people off guard is everything around it: the entity, the compliance, the credentialing clock, the first hire. Usually at the worst possible moment.

I've run operations for a four-location group practice and recruited and onboarded 27 clinicians through it. This is the order the work actually happens in, and the Practice portal is everything I wish every founder had on day one.

Private practice

You, your license, your caseload

Simpler, but not simple. You still need the right entity, HIPAA from your first client record, real intake, and policies you actually enforce. Build it like you might grow, so you're not rebuilding it later.

Group practice

Now you're also an employer

Add a group NPI, practice-level credentialing, a W2 or 1099 decision, onboarding, supervision, and a team that needs to know exactly what to do without asking you. This is where most of the pain lives.

The order it actually happens in

01
Legal foundationForm your entity (usually a PLLC or PC, depending on your state), get an EIN, and open a separate business account before the first expense. Founding with someone who isn't licensed? Check your state's ownership rules before you sign anything.
02
ComplianceHIPAA applies from your first client record, at any size. Every vendor that touches client data signs a Business Associate Agreement or gets replaced. Group practices also need a Type 2 (group) NPI through NPPES.
03
Infrastructure before peopleEHR, permissions, intake forms, and the client portal set up and tested before anyone starts. Start insurance credentialing early. Sixty to 120 days is normal, and nobody gets paid by insurance in the meantime.
04
The first hireThe W2 vs. 1099 call is the most expensive one to get wrong. If you set the schedule, provide supervision, and own the client relationship, you're probably looking at W2. Decide it with an employment attorney, before the job post.
05
Revenue systemsA full caseload isn't a business model. Track utilization weekly, give your cancellation policy real teeth, answer inquiries fast, and read a P&L every month, not every quarter.

Who needs to be in the room

Most of these are one-time or fractional, not payroll. The point is knowing who to call before it's a crisis.

Healthcare attorney. Before you form the entity, sign a lease, or classify a hire.
CPA who knows clinical revenue. Before your first tax quarter, for entity elections and owner pay.
Billing help and a credentialing specialist. Before your first insurance claim, and at least 90 days before you plan to see insured clients.
Malpractice broker. Day one, and a group policy once you have a group.
Operations support. By clinician three or four. Past that point, running ops yourself costs you clinical hours.

Practice Playbooks Portal

$297

Seven playbooks for a practice clients trust, and stay with. Built from running a multi-location group practice, and written for therapists, counselors, and coaches. Confidentiality comes first, before a single automation.

  • 01Confidentiality & HIPAA
  • 02Inquiry to first session
  • 03Client retention
  • 04Referral pipeline & growth
  • 05Policies, fees & payments
  • 06Clinician & coach team
  • 07Practice numbers

Includes a privacy check, BAA tracker steps, consult and rebooking scripts, a retention tracker built on client IDs (never names), and an "if you coach" section in every playbook.

Operational guidance from running real practices, not legal advice. HIPAA, entity, classification, and licensing decisions belong with a healthcare attorney and CPA in your state.

Small businesses & service offers

Every service business runs on the same five handoffs.

A salon, a consultancy, a contractor, a coach. Different coats, same bones. Someone asks, someone gets onboarded, the work gets delivered, the money comes in, and someone follows up.

When any one of those lives in your head instead of a system, it breaks the week you're busiest. The Business portal gives each one a home.

01
The inquiryResponse-time standards and scripts, so a lead never waits three days for a reply that should take three minutes.
02
Intake & onboardingOne path from "yes" to first appointment or kickoff, the same way every time, no matter who answers.
03
Policies with teethCancellation, late payment, and scope policies written so you can actually enforce them without feeling like the bad guy.
04
Your peopleA hiring kit, team onboarding, and an SOP template, so the second person you hire doesn't have to learn everything from you.
05
Your numbersA pipeline tracker and a dashboard you own, so you can see what's coming in without paying for a CRM you use a third of.

Business Playbooks Portal

$347

Seven playbooks for any service business, whether clients book appointments or you quote projects. Each one shows you what the gap is costing you, then how to close it.

  • 01Client intake
  • 02Follow-up & nurture
  • 03Policies & payments
  • 04Team & hiring
  • 05Numbers & dashboard
  • 06Your AI assistant
  • 07Google Workspace

Operational guidance, not legal, tax, or financial advice. Have an attorney or accountant review anything client-facing for your location.

How it's built

Four moves, in this order.

Every playbook, and every build I do, follows the same sequence. Skip a step and the next one doesn't hold.

A
AutomateFind what someone is doing by hand every week, like reminders, intake, and status updates, and give it to a system. People keep the parts that need judgment.
I
IntegrateMake the tools talk to each other, or replace three half-used ones with one workflow shaped around how your team already works. Nothing falls between apps.
M
MonetizeOnce the work flows, find what's leaking: slow replies, unenforced policies, empty slots. Then turn the system into something that brings revenue in, not just keeps up.
S
ScaleGrow without it breaking. More clients, more people, more locations, on the same backbone. Documented, owned by your team, and built so the next hire plugs in instead of starting from scratch.
AIMS Systems Audit

The playbooks are the map. An audit is me walking through your actual building.

I look at how your business really runs, find where time and money slip, and hand you a ranked roadmap with a 90-day plan. Fully async, in writing, with a recorded walkthrough.

$1,000 for solo and small teams, $2,500 for teams and multiple locations. It includes both playbook portals, and the full fee is credited toward anything we build together.

Questions

Before you buy

If you run a therapy, counseling, or coaching practice, the Practice portal. It starts with confidentiality and HIPAA, and covers intake, retention, referrals, fees, your team, and your numbers. If you run any other service business, from a studio to a consultancy to a trade, the Business portal.
No. It's a private portal at app.theaimsmethod.com. Sign in with the email you used at checkout, no password needed. Your calculators, checklists, and progress save to your account, on any device, and you keep access.
Every playbook ends with three paths: keep going on your own, book a 90-minute working session ($395, credited toward an install), or have us install the system for you. You request either one right inside the playbook.
No. It's operational guidance from running real practices. HIPAA, entity, employment classification, and licensing decisions belong with a healthcare attorney and CPA in your state.
Never. The portal holds your numbers and progress, not client names or health information. Every tracker in the Practice portal is built around client ID numbers, not names.
The portal is in English for now, and the scripts include Spanish versions. I work fully in Spanish, so working sessions and installs can be in Spanish.
